Rules for Performances

Welcome to the George Ignatieff Theatre.

This document has been designed to help you ensure that your events run safely and smoothly. Many of the guidelines and regulations discussed below will be common sense to most readers. The guidelines focus on the safety and the security of both the people using the theatre and the theatre equipment itself. If you need additional information, please do not hesitate to call the Theatre Manager, 416-978-4166 or the Reservations Clerk, 416-978-8680. The Reservations Clerk manages all room bookings at Trinity College and can assist you with organizing catering for receptions, break-out rooms for conferences, as well as other College services.

Building Capacity.

The theatre is designed to seat 181 people only. Audience members may not sit on the stage, nor in the aisles, nor on the steps. Neither may they add chairs to the level area at the back of the theatre as this obstructs the fire exits.

We strongly recommend that you issue tickets for your event if you have any concern that your audience will exceed auditorium capacity. With sufficient advance notice, arrangements can be made with the University of Toronto Information Commons for live video/audio broadcast in an adjoining overflow room. Let us know as soon as possible if you require this additional support.

Working Hours.

Normal working hours are as follows:

September - April

  • Monday - Friday 6 p.m. - 12 midnight
  • Saturday 8:00 am - 12 midnight
  • Sunday 9:30 am - 12 midnight

May - August

  • Monday - Saturday 8 am - 12 midnight
  • Sunday 9:30 am - 12 midnight

Technician

Trinity technicians are required for all stage productions and lectures that require constant access to the control booth. The Trinity technician will be responsible for the keys to the theatre and the control booth. In an emergency, please alert the Porters, located at the front entrance of the main Trinity building, off Hoskin. (Porters’ Lodge: 978-2522)

Access to Equipment.

The George Ignatieff Theatre is a well-equipped, multiple-use facility. You can familiarize yourself with the equipment available at the theatre by looking at our Equipment Inventory and Technical Information Schedules. Please confirm your equipment needs with the Theatre Manager as the equipment availability is subject to change.

Please report any malfunctioning equipment to your technician or to the Theatre Manager immediately. (416-978-4166, extension 1)

Different Rental Agreements permit different degrees of access to equipment.

Lecture, Meeting and Conference Use normally includes :

  • access to the area of the stage Downstage of the blue curtain
  • access to the auditorium and basement washrooms
  • work lights and house lights
  • Booth access, for slides, taping, etc., will require a Trinity College technician

Theatre, Concert and Special Events Use normally include:

  • access to the auditorium, dressing rooms, basement washrooms, and workroom
  • access to the booth and all production equipment, with an authorized technician

Groups are expected to contact the Theatre Manager at least TWO weeks in advance of their event:

  • to discuss operating procedures and technical requests
  • to confirm equipment availability
  • to arrange for a technician

We strongly recommend that you tour the facility if your technical requirements are complicated.

Audio-visual equipment & production equipment at Trinity College is operated by authorized individuals only.

Equipment Use

A schedule of equipment is available from the Theatre Manager. Please confirm your equipment requirements in advance of your event as the equipment list is subject to change.

Lighting.

House Lights

There are house light control stations located at each of the exits in the theatre. These control stations operate using a single on/off button. As well, there is house lighting control station in the wooden cupboard, stage left that allows individual control over the level of the rows off house lights. Preset 1 is usually: House lights at full. Preset 2 is usually: House lights at half (rear row at full).

Work Lights and Lecture Lights

The on/off controls for the work lights and lecture lights that are over the stage are located in the Wooden cupboard Stage Left, in the Booth, and Offstage Left.

Stage Lights

A minimal, standard lighting setup, known as a "House Plot" is needed for various events which take place at the George Ignatieff Theatre. Changes to the existing house plot must be authorized by the Theatre Manager. Where substantial changes are made, groups must schedule time and crew to restore the house plot with the presence of a Trinity Technician.

N.B. The theatre’s house plot is maintained from September to April only.

During the summer months, from May to August, lighting is set to each group’s particular needs.

Lighting Equipment Storage.

All spare stage lights are stored on the grid when not in use. Stage lights in need of repair are stored in the theatre manager’s office.

Projection Screen.

The motorized projection screen onstage is used frequently and requires that we maintain clear passage for it to track vertically. It must not be crossed with cables nor obstructed by lights.

Audio

Audio mixer operated by authorized personnel only.

Intercom.

Headsets and belt packs are stored in the booth and are available during performances and technical rehearsals only. There are no spare headsets. Be careful that no one treads on the black XLR cable or sits on the headset, as repairs will not happen instantaneously.

Media:

Video.

In order to ensure smooth running of your event, please let the theatre management know if you expect that any member of the media will be attending your event or if you intend to videotape your performance. Remember:

  • no video camera in the aisles or on the stairs
  • tape down cables
  • audio feeds from the mixer must be arranged one week in advance

Advertising.

The theatre shall not be advertised or used for any purpose other than the event or events specified in the agreement established with the Theatre Manager and the Conference Coordinator. The College reserves the right to approve all promotional materials before they are distributed.

Stage

Please be aware that the George Ignatieff Theatre continues to function as a lecture hall during the run of your production and respect these rules accordingly.

Fixed Sets.

Fixed sets must fit behind the blue curtain line without touching the curtains when they are moving or closed. They must allow easy transfer of the blackboards from the right wing of the stage to their position in front of the blue curtains.

Anchoring.

Set pieces may be anchored to the plywood behind the pillars and to the top of the arches. They may be secured with sandbags and braces. However, under no circumstances are nails or screws to be driven into the stage floor or front of the pillars.

Curtains.

From September to April, the blue and the black curtains shall remain hanging in place during your technical fitup and run of your show. In order to avoid damage to the curtains, they must be fully opened when moving scenery and other equipment.

In the summer, the curtains may not be present for your event.

Spike Marks, Paint, and the Stage Floor.

The only marks on the theatre floor or walls should be made with spike tape, chalk, or glow tape that is removed at the end of the show. Absolutely no double sided tape, masking tape, gaffer’s/duct tape, etc. will be tolerated.

Changing the colour of the Stage floor can be achieved by laying a removable floor on top of the existing stage floor or by laying a painted ground cloth which you supply.

There is no painting allowed in the theatre.

Piano.

There is an upright piano available to groups who wish to use it for a fee. The group will be expected to move the piano into position on the stage. Arrangements can be made while booking the theatre to have the piano tuned.

Workroom

The theatre workroom is available for set construction, painting, and rehearsals.

Construction.

Power tools may be used in the workroom only when the there are no other functions scheduled in the theatre auditorium.

Be sure to maintain a minimum 3’ clearance in front of the electrical panels in this room. As well be aware of the three doors and maintain a clear passage between them.

Painting.

Painting is only permitted in the workroom. A plastic drop sheet must be used under any item being painted on the workroom floor. Please bring your own painting materials.

Storage.

Set pieces and reusable lumber must be stored neatly on the racks on the unpainted parts of the floor only after all nails and screws have been removed. The painted portions of the workroom floor must be kept clear so that they may be used as a rehearsal hall.

The properties, set pieces, paint, and lumber currently stored in the workroom belong to trinity college. please do not use anything in the workroom without checking with the theatre manager. Reasonable rental rates have been set for the use of these Resources.

Dressing Rooms

Security.

Please make sure that you lock the doors when you leave the dressing rooms at the end of the evening. Do not leave any valuables unattended in the dressing rooms during the performance.

Small Prop Storage.

A lockable cabinet has been provided in one dressing room. Please provide your own lock to ensure the security of your small properties.

Clean Up.

Please ensure that you set aside sufficient time for restoring the dressing rooms to the state in which you find them.

Removal of all related production elements (props, costumes, etc.) is required immediately following your last performance. Don’t forget to collect your audio tapes from the booth!

Lost Articles

Trinity College does not accept responsibility for any articles lost during your event. However, there is a "Lost and Found" box at the Porters’ Lodge. (Porters’ Lodge 978-2522)

Fire Safety.

Make yourself aware of the fire exits in the theatre. Do not block any aisles or doorways. In the event of an emergency, the Trinity Technician is in charge.

Smoking.

In accordance with the City of Toronto's by-law 92834-342, smoking is prohibited inside any building at Trinity College. This prohibition includes the theatre auditorium, lobby, dressing rooms, washrooms, and wings.

EXCEPT: Smoking will be permitted if it is scripted for a member of the cast to smoke during the course of a performance. The Theatre Manager must be notified and an ashtray must be supplied by the renter.

Drinking and Eating.

Eating or drinking inside the main auditorium is strictly prohibited. The Buttery (the room attached to the theatre) may be rented for intermission or post-performance receptions. Please contact Marriott Management Services for any food or beverage that is to be served on the premises, 978-3860.

Alcohol.

Consumption of alcoholic beverages in any part of the George Ignatieff Theatre at any time is strictly prohibited.

Cleaning.

A minimum cleaning charge will be applied to each bill. This cleaning charge does not include disposal of set pieces, props, or performance related materials and disposal of these production items will result in additional cleaning charges.

Where additional cleaning of the premises is deemed to be necessary by Trinity College, the Renter will pay the College an additional Clean Up Charge.

Damages.

It shall be the responsibility of the renter to check the premises for any damage and report the same to Trinity College prior to the commencement of the function.

The Renter shall be responsible for any damages which occur during the setup, run, and strike of their function.

Responsibility

Personnel.

The Theatre Manager, the College Controller, or their specified designate ___________________ will be the representative of Trinity College and will advise both the College and the Renter of any impractical situations, technical requirements, and additional rental of equipment other than the college's equipment. Outside Equipment.

Trinity College shall not be liable for any damage to or loss of any property brought onto the premises in conjunction with the function by the Renter or the Renter’s members, officers, employees, agents, contractors or any person who attends the function.

During the run of your production, the George Ignatieff Theatre remains and operates as a lecture hall. We strongly recommend that you do not bring or leave any items of value lying around. Trinity cannot take responsibility for any lost or stolen articles.

Event Security.

The Porters’Lodge, located in the main building of Trinity College, Hoskin Street entrance, is open 24 hours a day. There is a security patrol from 11pm to 7am daily.

If additional security is deemed necessary by Trinity College or the Renter, the Renter shall provide and pay for police or security officers in such numbers and with such identification as is acceptable to the College.

Information deadlines.

The Theatre Manager will be advised by at least 7 days prior to any event of any equipment required or technical assistance before and/or during any event. Equipment required from the University of Toronto Information Commons (416-978-6544) must be booked separately by the renter

Acknowledgement

Liability.

The Renter shall protect, defend indemnify and save the College harmless from all claims, actions and proceedings, including any costs and expenses incurred by the College thereby, for loss, damage or injury, including death, to any person or personas and to any property arising from the use of the premises by the Renter or their members, officer, employees, agents or contractors or any person who attends the function.

In the event of destruction of said theatre by fire, or national or local calamity, or any occurrence beyond its reasonable control which shall render the fulfillment of this agreement by Trinity College impossible, the College shall not be held legally responsible by the renter for any damages caused thereby.

In the event of the Renter's failure to comply with any of the terms and conditions of this agreement, the College may at any time cancel this agreement forthwith in which event the College shall retain as liquidated damages all monies paid to it by the Renter and shall be under no further liability whatsoever to the Renter.

"I have read the George Ignatieff Theatre Regulations and agree to ensure that they are enforced. By signing this document, I agree to assume responsibility for the conduct of all who attend or work with the event."
