Event Services & Catering Assistant

Remuneration: $15.90 per hour

Position Summary:

Trinity College is a vibrant and diverse academic community with a rich history and excellent local and international reputation. Since its founding in 1851, the College has valued and fostered a high level of academic achievement with some 2,000 currently registered students, 450 of whom live at the College. Trinity College grounds comprise spectacular historic buildings, and the College is among the smallest and most prestigious colleges on the St. George Campus of the University of Toronto. Trinity’s campus currently consists of four main buildings and is located in the central Toronto downtown core, steps from the Bloor-St. George subway and Queen’s Park.

This position is housed within the Event Services & Catering Office reporting directly to the Manager, Event Services & Catering.  Day-to-day work will require a high degree of emotional intelligence and humility, tact, organization and attention to detail, highly accurate record keeping, ability to adapt and be flexible in your work, ability to prioritize, and ability to work in a fast-paced evolving environment.  The Event Services & Catering Assistant will need to effectively work closely with a variety of internal and external clients: this work requires excellent people skills, communication skills, and relationship-building.

Key responsibilities (but not limited to):

  • Provides assistance with event bookings and summer conference arrangements including, but not limited to, residence and meeting room allocations, meal charges, and billing.
  • Maintains effective internal communication between the Event Services and Catering Office and Bursar’s Office, Director of Facility Services, Cleaning Supervisor, building staff, Security Supervisor, Welcome Desk, Dean of Students’ Office including Summer Residence Coordinator, food service staff and others as required.
  • Closely monitors event bookings and conference groups; liaisons with group leaders accordingly.
  • Prepares for client and conference group arrivals and departures. Informs Welcome Desk accordingly.
  • Monitors residence and meeting room status and keys accordingly.
  • Provides assistance at the end of the summer to ensure residence rooms are ready for the academic year.
  • Other administrative duties and special projects as required.


  • Post-secondary diploma with courses in Event Management or equivalent combination of education and experience. Familiarity with the postsecondary context, and Trinity College in particular, an asset.


  • A mature and responsible individual, able to deal tactfully and effectively with internal and external clients, conference groups and all levels of College staff.
  • Ability to organize own work with minimum supervision.
  • Good problem-solving skills.
  • Good computer skills; familiarity with bookkeeping procedures an asset.
  • Must be prepared to be contacted for after-hours issues and may be requested to work evenings or weekends, especially during conference group turnovers.
  • Familiarity with layout and operation of Trinity College buildings is considered an asset.

Working hours:

15 hours a week with flexibility, generally three five hour afternoons a week.
