Planning Your Event

PLANNING YOUR EVENT AT TRINITY COLLEGE

We offers complete support throughout the planning process and on the day of your event. An Event Coordinator will discuss your requirements, design an event package suited to your needs and help you manage all the details leading up to your event date. During your event, a dedicated event supervisor will oversee the execution of your event plan and be on-hand for emerging issues, questions or requirements.

Trinity College’s packages offer each client the ability to customize their event to suit their individual & unique needs.

Room Selection & Setup

When you book a room, your Trinity College Event Coordinator will draw up a detailed plan for your approval and will note all set-up requirements, including tables, chairs, AV equipment, podiums, risers, projectors, drapery, lighting, etc. Most rooms have furniture that can be re-arranged to suit your event. As well, there are a limited number of flexible resources that can be borrowed or rented for your event. Trinity College Service Workers are the only people permitted to move furniture in any space on campus.

Décor

For events that require additional room preparation or set up (florals, décor items, etc.), detailed plans can be discussed with your event coordinator, but please note it will be your responsibility to arrange an external Event Planner or Supplier for any additional set up. Rooms & grounds within Trinity College are considered historic property, so there are certain limitations to set-up and décor, which will be outlined and discussed with your coordinator.

Cleaning & Restoring

Depending upon the nature of your event, you may be required to hire additional cleaners who are dedicated to your event. Your Event Coordinator will help facilitate whether this is necessary. Trinity College Service Workers clean and restore spaces after each event. Events that extend past 11pm (including the clean-up by the event organizers) or take place on the weekends, will incur additional charges for cleaning.

Audio Visual Equipment

Many meeting rooms and classrooms in Trinity College’s buildings have built-in projectors and screens. Please note that users are responsible for bringing their own computer and adapter for rooms with built-in projectors. Please refer to the instruction manual, which is available by the projector. AV or technical support is not available for those who rent meeting rooms and classrooms, unless prior arrangements have been made (additional fees may apply). Rooms are WiFi accessible with UTORid.

Technical Support

Our Theatre Manager will work with you to ensure that your event looks and sounds spectacular. Equipment rentals and staffing fees apply, and detailed quotations will be provided for your approval.

Staffing

Trinity College is committed to the smooth execution and success of your event, so we ensure adequate staffing is provided. This includes catering, bar, maintenance, cleaning & set up and technical staff. Additionally, each catered event will have a dedicated event supervisor to oversee all aspects of the event. Fees and quotations will be provided for your approval.

Parking

Meter parking is available in the Trinity College parking lot on Devonshire Place (north of the Gerald Larkin Building). Metered street parking is available on Devonshire Place and Hoskin Avenue. City parking lots are also nearby.

EXCLUSIVE SUPPLIERS

Catering: Chartwells

Catering at Trinity College is exclusively delivered by Chartwells, a division of Compass Canada. Your Event Coordinator will work with you and the Catering team to make your selections, plan your menu and deliver the highest quality service. All costs will be quoted for your approval, prior to finalizing your contract and event.
Please note: the supply of food and beverage by external caterers requires the approval of the Manager, Event Services & Catering. Under no circumstances is outside food or beverage permitted in any space or on the grounds, for the purposes of catering an event, without this written approval. As well, external caterers are not permitted access or use of any college kitchen or kitchen equipment.

Preferred Suppliers

PREFERRED SUPPLIERS

Please speak with your Event Coordinator for a list of preferred suppliers for any specialty furniture, hotels, florists and event décor.

Alcohol

ALCOHOL

Trinity College does not hold a permanent liquor license. A Special Occasion Permit (SOP) is required to serve alcohol in any space or within the grounds. The process to obtain an SOP through Trinity College requires a minimum of 30 days’ notice to arrange (longer is preferred), the cost of which will appear on your contract and final invoice. All alcohol is purchased under the SOP by Trinity College and charged on final consumption, which will appear on your final invoice. By law, Trinity College will also have non-alcoholic options as well. Please speak with your Event Coordinator about all alcohol service.
